Frosty Refrigeration and Air Conditioning is seeking a motivated, self starting, and customer service focused Dispatcher/Customer Service Administrator to join our team in beautiful Prince Rupert, BC. If you have experience with dispatching (specifically in trades an asset), have office administrative skills, and are comfortable learning new technology/software with efficiency and precision we want to hear from you!

Please note that this position will require the use of dispatching software called Service Fusion, a cloud based dispatching and invoicing software. It requires the user to be able to confidently navigate a computer and use other cloud based programs. We do not utilize paper filing and such the applicant needs to be comfortable with this technology.

Hours will be 8-4pm Monday-Friday


  • Answer internal and external customer inquiries
  • Coordinate the activities of our dispatch operation to ensure that functions are handled in an efficient and complete manner
  • Receive service requests from customers by phone and/or email and record details
  • Prioritize each call based on urgency to ensure customer impact due to service issues is minimized
  • Populate the dispatch board with maintenance visits and service calls
  • Coordinate coverage activities for specific areas and schedule assignments for vehicle operators taking into consideration their skills, location, & availability
  • Tracking and recording the completion of service calls and maintenance visits
  • Track, receive, & review completed work orders from the field
  • Ensure paperwork is completed and forwarded to the appropriate party in a timely and accurate manner
  • Sell services to new and existing customers
  • Make outbound calls as needed to maintain excellent customer service
  • Assist with the creation and maintenance of a customer database
  • Obtain quotes for equipment and or parts as needed for the field techs, Order parts and provide purchase orders to the vendors
  • Assist with warranty registrations and insurance claims
  • Generate reports in a format that is neat, accurate, and timely
  • Enter transactions in a timely and accurate manner
  • Daily book keeping entries with regards to Client payments
  • Other duties as assigned by the owner

Knowledge, Skills, & Abilities:

  • Experience preferred in HVAC with at least one year prior experience with dispatch
  • Proficient in Microsoft Office (advance knowledge in Word & Excel is preferred)
  • Candidates with prior experience with customer management software will be preferred
  • Must be highly organized with the ability to multi-task
  • Have excellent communication skills (written and verbal) with exceptional interpersonal skills
  • Must be able to have “big picture thinking” with ability to multitask and solve issues competently and logically

Job Type: Full-time

Salary: $20.00-$27.00 per hour
