Job Description

Position: Curriculum & Program Support Clerk (2) positions

Location: Prince Rupert, BC

Department/Team: Training Centre

Hours/Pay: 240 Hour Term/$3600

 

POSITION OVERVIEW

Hecate Strait Employment Development Society (HSEDS) is a non-profit organization governed by a board of directors with a mandate to provide employment programming and training to enhance opportunities for residents of the North Coast, Haida Gwaii, and Bella Bella.

 

HSEDS provides resources for jobseekers, newcomers, employers, and new entrepreneurs. Our mission is to serve and build connections for people to reach their employment, training, and settlement goals.

The Curriculum & Program Support Clerk position is an entry-level opportunity designed to provide hands-on learning and supervised practical exposure to administrative processes, curriculum organization, and workshop delivery support. This structured work experience supports participants in developing foundational organizational, communication, and facilitation skills to prepare for long-term employment in administration, program coordination, or training environments.


KEY RESPONSIBILITIES

Administrative Desk & Registration Support

  • Learn and assist with front desk administrative processes including receiving payments, processing approvals, and supporting program registrations.
  • Provide administrative support to program staff as required.
  • Ensure accurate documentation and data entry.
  • Maintain organized filing systems (electronic and paper-based).


Curriculum Organization & Content Management

  • Review existing program content and learning materials for organization and consistency.
  • Port existing curriculum and resources into Microsoft Teams for digital sharing and collaboration.
  • Conduct basic editing to improve consistency, remove repetition, update outdated content, and correct broken links.
  • Assist in organizing digital and printed resource libraries.


Program Support & Light Facilitation

  • Act as a support person for program facilitators during workshops and training sessions.
  • Participate as part of the CELPIP testing invigilation team
  • Demonstrate willingness to speak and lead in front of small groups.
  • Co-host or assist with basic workshops (e.g., Money Matters, UpSkills for Work) to gain facilitation experience.
  • Support participant engagement, attendance tracking, and workshop logistics.


Policy and Compliance

  • Adhere to organizational policies and confidentiality procedures.
  • Maintain confidentiality of sensitive client and program information in compliance with FOIPPA standards.
  • Support ethical handling and secure storage of documentation.


Certifications and Skill Development

  • Obtain or maintain FOIPPA Certification.
  • Participate in structured mentorship and learning activities to build administrative and facilitation competencies.
  • Perform other related duties as assigned to support departmental learning objectives.

 

QUALIFICATIONS AND SKILLS

The ideal candidate will possess the following qualifications and skills:

  • One year experience preferrable;
  • Excellent oral and written communication skills;
  • Attention to detail to proofreading;
  • Demonstrated strong computer software skills;
  • Ability to enter and manage data with speed and accuracy;
  • Excellent time management skills;
  • Strong collaborative and interpersonal skills;
  • Demonstrated commitment to service excellence and teamwork;
  •  A high degree of professionalism and respect for confidentiality;
  • Current satisfactory Criminal Record Check is a condition of employment.
