Position: Community Support Assistant (2) positions

Location: Prince Rupert, BC

Department/Team: Settlement

Hours/Pay: 240 Hours/$3600

 

Position Overview

Hecate Strait Employment Development Society (HSEDS) is a non-profit organization governed by a board of directors with a mandate to provide employment programming and training to enhance opportunities for residents of the North Coast, Haida Gwaii, and Bella Bella.

 

HSEDS provides resources for jobseekers, newcomers, employers, and new entrepreneurs. Our mission is to serve and build connections for people to reach their employment, training, and settlement goals.

The Community Support Assistant plays a key role in supporting the daily administrative functions of the Settlement Department while contributing to community engagement initiatives that promote newcomer integration. This position ensures organized file management, supports client application processes, and assists in delivering community-based programming and outreach activities.


Key Responsibilities


Administrative and File Management

  • Maintain organized and confidential filing systems (electronic and paper-based).
  • Support accurate document management in compliance with privacy standards and internal procedures.
  • Assist staff with photocopying, scanning, and preparing documentation for client applications and reporting requirements.
  • Ensure timely processing and secure storage of client records.


Program and Community Support

  • Support the coordination and facilitation of Conversation Circles to promote language development and community integration.
  • Assist in the organization and maintenance of the Community Garden initiative to support food security and community connection.
  • Provide logistical and administrative support for settlement programming and events.


Publicity and Marketing

  • Assist with the promotion of Settlement Services through social media, posters, and community outreach efforts.
  • Support the development and distribution of marketing materials to increase awareness of newcomer services.
  • Contribute to community engagement strategies that enhance newcomer participation.


Compliance and Certification

  • Maintain and apply knowledge of privacy legislation through FOIPPA Certification.
  • Support CELPIP testing processes through CELPIP Invigilation Certification, when required.
  • Ensure confidentiality and ethical handling of client information at all times.
  • Perform other related duties as assigned.


Qualifications and Skills

The ideal candidate will possess the following qualifications and skills:

  • One-year experience preferrable;
  • Excellent oral and written communication skills;
  • Attention to detail to proofreading;
  • Demonstrated strong computer software skills;
  • Ability to enter and manage data with speed and accuracy;
  • Excellent time management skills;
  • Strong collaborative and interpersonal skills
  • Demonstrated commitment to service excellence and teamwork
  • A high degree of professionalism and respect for confidentiality;
  • Current satisfactory Criminal Record Check is a condition of employment.
