The City of Prince Rupert is currently recruiting for one (1) permanent Clerical Assistant to join our team in the Public Works Sector of the Operations Department. This position will be guaranteed a minimum of 20 hours per week and a maximum of 40 hours per week. A Clerical Assistant will perform a wide range of moderately difficult clerical work and will be a back-up for the First Aid Attendant. Along with regular administrative duties, you will be required to provide support to the Storeskeeper and Timekeeper. The relief First Aid Attendant will provide a level of care within their scope of training to preserve life and minimize the consequences of injury until medical treatment is obtained. Timekeeper duties include the preparation, calculation and completion of a moderately complex biweekly payroll along with checking and verifying time submitted, adherence to the Collective Agreement, data entry, performing payroll reconciliations, and the ability to prepare detailed complex reports. Additionally, you will be required to provide relief to Landfill Scale House Attendant. The successful candidate will be highly motivated to ensure the timely and efficient completion of assigned tasks while dealing with multiple priorities, the public and City staff. This position involves a high level of confidentiality which must always be maintained. The successful candidate must follow the City of Prince Rupert’s purchasing policy, procedures and standard practices. This is an attendance sensitive position. Upon proof of Occupational First Aid Intermediate or Advanced Certification the incumbent may be eligible for the $1.25 per hour premium. 

WHAT YOU’LL BRING

Required:

  •  Dogwood Diploma or GED;
  • Valid Class 5 BC Driver’s Licence (Driver’s Abstract required);
  • Ability to follow safe work practices and comply with safe work procedures and all departmental policies;
  • Will be required to obtain and maintain a clear Police Information Check including a vulnerable sector review (PIC-VS). The results of which will be reviewed by the City to ensure employment eligibility.
  • Accurate typing speed of 60 wpm, numerical proficiency and data processing;
  • Good working knowledge of Microsoft Office Software (Word, Excel, Access & Outlook) is mandatory;
  • Valid Occupational First Aid Intermediate or Advanced Ticket (condition of employment);
  • A Business Administration Certificate or a combination of Accounting Courses along with sound work experience is required;
  • A Supply Chain Management Professional accreditation course is required within 2 years;
  • Experience with computerized accounting systems, Vadim ICity;
  • Certifications in the following will be required within 2 years: WHMIS, Forklift Operator, Transportation of Dangerous Goods and Respiratory Fit Test; and,
  • Shall be capable of understanding, reporting verbally and by written report in English and accept and comprehend verbal instructions.

Certifications Required (if not current, within 2 years):

  • WHMIS Certification;
  • Transportation of Dangerous Goods; and,
  • Respiratory Fit Test. 

Fitness Requirements:

This role requires physical exertion and the ability to work in diverse outdoor environments. You’ll need to be in good physical condition to perform tasks. Key physical requirements include:

  • Manual labour for long durations, including lifting, pulling and managing equipment and objects;
  • The ability to handle or move weights up to 100 lbs and lift up to 40 lbs.; and,
  • Performing tasks such as walking long distances and heavy lifting above the waist for extended periods.

 Safety Requirements:

For safety reasons, and as directed by WorkSafeBC regulations, employees must be clean-shaven.

  • If you are not a local applicant, you must be prepared to relocate to Prince Rupert, BC before starting work. The City can assist financially with relocation costs; and,
  • You must be legally entitled to work in Canada.

Wage Rate: $37.90 per hour
