Job Title: Administrative Assistant (Canada Summer Jobs) Filling and term of position dependent on successful funding
Department: Administration/Legislative Services/Public Works
Hours of Work: 8:30 am - 4:30 pm Monday – Friday Occasional evenings and weekends as required
Salary Range: $ 20.69 plus 10% in lieu of benefits
Purpose:
The Administrative Assistant (Summer Worker) provides general administrative and operational support to multiple municipal departments. This position is funded through the Canada Summer Jobs program and is intended to provide meaningful work experience, skill development, and exposure to local government operations.

Job Duties:
Administration
• File, organize, and archive municipal records in accordance with established records management procedures
• Assist with digitization of paper files and improvement of electronic filing systems
• Perform data entry, document formatting, and basic record updates
• Answer phones, greet visitors, and respond to general inquiries in a professional manner
• Sort, distribute, and prepare outgoing mail
• Order, pick up, and organize office supplies and materials
• Maintain cleanliness and organization of office, filing, and storage areas
• Assist in preparing meeting materials (agendas, minutes, and packages) under direction
• Provide general administrative support to staff across departments as required
Youth Centre Support
• Assist the Youth Centre Manager with shopping, inventory checks, and supply organization
• Help set up, clean up, and maintain youth programming spaces
• Prepare snacks or food as directed, following safety guidelines
• Provide support during programming by helping supervise activities when staff are present
Communications Support
• Assist with updating and maintaining the municipal website and internal server
• Support basic social media posting and content updates
• Prepare simple correspondence, notices, posters, and community update
• Prepare basic correspondence, and notices under the direction of the Sr. Administrative Assistant
Events :
• Events & Community Engagement
• Assist with planning, setup, and cleanup of community events and municipal meetings
• Help coordinate event materials, signage, and supplies
• Support staff during public events (registration, logistics, general assistance)
• Assist with community outreach initiatives where appropriate
General Duties
• Conduct light research to support municipal projects and initiatives
• Run errands as requested by seni
• Assist with special projects as assigned by supervisors
• Perform other related duties as required
Desired Qualifications:
• Age 15-29 as per Canada Summer Jobs criteria
• Some office or customer service experience is an asset
• Basic proficiency in Microsoft Office (Word, Outlook, Teams; Excel is an asset)
• Ability to follow instructions and work both independently and as part of a team
• Strong communication and interpersonal skills
• Willingness to learn and take initiative
• Valid Class 5 Driver’s License (preferred)
