Work Schedule:

Full-Time: Monday to Friday, 8:00 AM to 4:00PM

Subject to change according to the company's needs


Reporting To:

The Human Resources Office Coordinator will report directly to the Terminal Manager.

As a professional team member of Ray-Mont Logistics, the main responsibilities of a Human Resources Office Coordinator will consist of the following:


Duties & Responsibilities:

  • Assists in the daily administration of the Collective Agreement, Employment Agreements, and Policies and Procedures to facilitate the resolution of workplace disputes, grievances, and other concerns in order to maintain positive working relations.
  • Overseeing office supplies and services, including restocking supplies, relocating employees to new areas, setting up desks and equipment for new hires, arranging port passes for employees, or creating important office forms.
  • Handle invoicing, billing, and financial record-keeping of office expenses.
  • Assist with limited HR functions, such as employee onboarding, maintaining personnel records, and addressing basic HR issues.
  • Maintain and organize office files, databases, and records.
  • Ensure that office policies, procedures, and guidelines are followed by all employees
  • Ensure compliance with health and safety regulations within the office space
  • Organize company events, conferences, or meetings.
  • Assist in preparing for ISO certification audits by ensuring processes and documentation meet ISO standards.
  • Coordinate with IT personnel to maintain office technology and troubleshoot any issues.


Required Qualifications:

  • Must successfully pass a comprehensive background check and provide professional references.
  • A bachelor's degree in a relevant field (e.g., Business Administration, Human Resources, or Accounting) is considered an asset.
  • Previous experience working within a unionized environment is a strong asset, particularly with Collective Bargaining Agreements (CBAs).
  • Experience with financial record-keeping, payroll processing, and basic HR tasks is highly desirable.
  • Demonstrated ability to maintain meticulous records, prioritize tasks, and meet deadlines with precision.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with database systems or HRIS software is an asset.
  • Capable of working independently, managing workloads, and taking initiative in a fast-paced environment.
  • Exceptional written and verbal communication skills, enabling effective collaboration.
  • High attention to detail with an eye for identifying potential discrepancies or inefficiencies.
  • Resourceful and proactive problem-solving abilities aligned with organizational goals.
