Job Description

Under the supervision of the Legislative Clerk, the Administrative Assistant provides day-to-day support to the Chief Administrative Officer, Public Works and Legislative Services departments and occasionally stands in for the Legislative Clerk during after-hours meetings of Council. The Administrative Assistant will work closely with the Legislative Clerk to ensure the organization meets all legislated requirements while preparing for Council meetings and public engagements as well as ensuring the organization’s public notice and records access requirements are met. The Administrative Assistant maintains social media platforms, Village website and assists with public communications generally. The Administrative Assistant supports staff with information technology and troubleshooting and helps solve technology issues and questions as they arise.  


Qualifications

·       Secondary school graduation supplemented by administrative assistance/secretarial training plus experience in an administrative or office environment, preferably in local government setting OR an equivalent combination of training and experience.

·       Highly skilled in the use of Microsoft Office suite including Word, Teams and PowerPoint.

·       Demonstrated ability to work positively and professionally with the public, elected officials and all levels of staff.

·       A high degree of accuracy and attention to detail in all aspects of job performance and ability to follow directives and special tasks as required by Senior staff

·       Experience or training in communications or public relations is an asset.

·       Experience with design software including Canva and Adobe inDesign is considered an asset.

·       Experience with the MAIS software is considered an asset.

Ability to achieve priorities as set by supervisors and to meet deadlines is essential, as well as the ability to work independently and in a team environment.


Hour of Work


8:30 am - 4:30 pm

Monday – Friday

Weekends & evenings when required


Salary Range


$23.69 - $31.65/hr.
