
Receptionist
$24.43-$27.48 per hour based on experience, full-time 35-40 hrs per week

DESCRIPTION
The Receptionist is the welcoming face of our organization—a professional, organized, and friendly individual capable of managing multiple tasks while ensuring that every guest and employee experience is positive. This role involves handling front desk duties, providing administrative support to CHN staff in Old Massett, and maintaining a secure and efficient office environment.
KEY DUTIES & RESPONSIBILITIES
- Answer and direct all incoming phone calls promptly and courteously.
- Greet all office guests warmly and ensure a positive first impression.
- Arrange for staff to meet visitors in the reception area as necessary and maintain an updated log of visitors for security purposes.
- Manage and organize the reception area to maintain a professional and inviting atmosphere.
- Monitor and stock supplies in the copy rooms, snack room, and lounge.
- Oversee the scheduling of appointments and meeting room bookings.
- Collect, sort, and distribute all incoming mail and packages efficiently, and coordinate courier services when needed.
- Answer questions from guests and employees, providing accurate information and assistance.
- Assist in preparing and distributing office correspondence and documentation.
- Decorate the office for holidays and special events to enhance the workplace environment.
- Ensure the safety and security of the building by following established protocols and conducting daily security checks before leaving.
- Monitor office equipment (such as scanners, copiers, and printers) to ensure proper operation and arrange for maintenance when necessary.
- Provide comprehensive administrative support to CHN staff, including scheduling meetings, preparing documents, and managing office logistics.
- Perform light bookkeeping and financial record-keeping, including expense tracking and invoice management at the direction of the finance team.
- Assist with organizing office events, team-building activities, and training sessions, and support various projects as assigned.
- Act as a liaison between departments to promote effective communication within the organization.
QUALIFICATIONS
- Possess a high school diploma or equivalent (additional administrative training or certification is a plus).
- Have a minimum of two years of relevant work experience in a similar role.
- Be proficient in basic office software (e.g., Microsoft Office Suite and email platforms).
- Demonstrate the ability to operate standard office equipment, including scanners, copiers, and printers, with a typing speed of 40 words per minute or more.
- Exhibit a friendly, approachable, and professional demeanor.
- Possess strong organizational skills with keen attention to detail and excellent communication skills (both verbal and written).
- Be able to multitask and manage time effectively in a fast-paced environment, working both independently and as part of a team.
- Show flexibility to handle a range of administrative tasks and a commitment to maintaining a secure, orderly, and positive office environment.
