Job Description

OPERATIONS ADMINISTRATOR

 

Reports to: Supervisor, Centralized Operations

Primary Purpose

The primary purpose of this role is to provide operational and administrative support to the retail and lending areas of the branches, allowing our staff to provide exemplary member service. The Operations Administrator position is critical to providing streamlined administrative processing to ensure the integrity and accuracy of member transactions while meeting regulatory requirements.

 

Key Accountabilities

Knowledge of the Business:

  • Is knowledgeable in all Northern Savings financial products and services to enable referrals to retail and Business Services, Wealth Management, and insurance (life, property, and casualty).

Member Service:

  • Ensures administrative processes and policies are kept current and followed with the member and internal staff in mind.
  • Communicates with branch staff in dealing with member transactions.
  • Is an advocate for financial products and services offered by Northern Savings and encourages new members to join the credit union.
  • Takes ownership of member issues and complaints, resolving and referring as appropriate.
  • Presents a professional image to members and internal customers (other staff).
  • Other duties may be assigned periodically.

Employee Engagement:

  • Embodies and promotes professional image of the Corporate Office.
  • Participates as a member of a positive, capable team enabled to meet the mandate of the business unit.
  • Contributes to a positive workplace that is motivating to all staff by operating in a manner which promotes trust, respect, integrity, and credibility.
  • Fosters a culture consistent with the credit union’s values and service philosophy.
  • Collaborates with branch staff addressing services issues and member concerns.
  • Actively participates in team meetings.

Operational Efficiency:

  • Provides administrative support to the retail and lending departments.
  • Identifies process improvements and escalates to supervisor.
  • Responsible to deliver process and procedures that effect branch operations, balancing member service, operational risk, and regulatory compliance.
  • Works positively within Corporate Office and with branches to implement policies and practices in an efficient manner.
  • Provide inputs and consultation in development of branch initiatives and Corporate Office initiatives.
  • Ensures that all interactions with members and fellow staff are completed in a professional and timely manner 
  • Stay attuned to opportunities for achieving process efficiencies and interprets the opportunities within Northern Savings 

Financial and Risk Management

  • Facilitates administrative compliance activities providing for an appropriate balance of compliance with risk tolerance.
  • Meets compliance, confidentiality and regulatory requirements and abides by management policy and branch procedures.
  • Understands authorities with respect to overrides, waiving service charges, and disbursements.

 

Minimum Qualifications

Education:

  • Completion of secondary school diploma required.
  • Completion of CUSOURCE and/or CU Training will be a requirement.  

Experience:

  • Previous financial services experience is an asset
  • Previous administrative experience is an asset.

Skills:

  • Ability to communicate and liaise professionally branch staff and members while maintaining confidentiality.
  • Ability to prioritize, organize work within time constraints, under pressure and competing priorities.
  • Ability to gather information and develop sound and prudent decisions and move forward to carry out decisions in a timely manner.
  • Self-motivated and a self-starter.
  • Excellent listener, patient, and empathic.
  • Working knowledge, skills, and experience in Microsoft Office.
