Job Description

Office Administrator

 

Purpose

The BCMEA is seeking a part-time Office Administrator to support the daily operations of its Prince Rupert Training Centre. Reporting to the Training Manager, this role provides front-line reception, general office administration, and program-related support to ensure an efficient and welcoming environment.

 

Responsibilities

  • Greet and assist visitors, respond to inquiries, and answer/direct incoming calls
  • Open, sort, and distribute mail
  • Book meeting rooms and organize catering for meetings and training sessions
  • Order and maintain office supplies and manage general office filing
  • Provide administrative support for facilities-related tasks
  • Build and maintain Excel spreadsheets for administrative tracking
  • Scan, file, and update records and documents
  • Enter data for Training, Safety, and Recruitment documentation
  • Draft and prepare correspondence and reports
  • Submit and track port pass and security clearance applications
  • Support administrative and logistical components of special projects
  • Provide check-in and document collection support during recruitment periods
  • Perform other duties as assigned

 

Knowledge, Skills & Requirements

  • High school diploma or equivalent, with a minimum of one year of office or administrative experience
  • Strong verbal and written communication skills
  • Highly organized with excellent time management and attention to detail
  • Able to prioritize tasks and meet deadlines independently and within a team
  • Proficient in Microsoft Office (Outlook, Word, Excel)
  • Able to manage multiple tasks under pressure
  • Strong problem-solving and critical-thinking skills
  • Valid driver’s license and access to a personal vehicle

 

Additional Details

  • Part-time: 20–25 hours per week, Monday to Friday
  • Wage: $20-$25/hr.
