Job Description

$31.34 – $32.61 per hour based on experience, Full-time 35-40 hrs. per week

DESCRIPTION 

Reporting to the Human Resource Manager, The Events Coordinator is responsible for coordinating all public events, public meetings, quarterly sessions, and HOA meetings. Coordination includes booking dates, venues, sound, and caterers as needed. They will also coordinate such events when held as virtual meetings and hybrid forums. They will oversee the events calendar and look for efficiencies and synergies between events. They will work with Communications to ensure that necessary publicity is carried out.

KEY DUTIES & RESPONSIBILITIES

  • Book meeting dates, and hold the meeting calendar for public consultations and all meetings
  • Make all physical arrangements necessary for the smooth operation of a meeting, including venue, sound, set up, take down, catering, audio-visual equipment, etc.
  • Working collaboratively with the department holding the event, the coordinator will facilitate all of the physical arrangements necessary for success.
  • Assist the sponsoring department/committee in working through a meeting checklist and have all necessary resources arranged.
  • Foster relationships with vendors, ensuring preferential booking and rates
  • Work cooperatively with other staff
  • Analyze, report and make recommendations for future events
  • Other related duties

QUALIFICATIONS 

  • Knowledge of Haida culture, politics and social structures
  • Knowledge of the procedures of the Council of the Haida Nation
  • Excellent people skills, with a collaborative approach to work.
  • Detail-oriented with the ability to adapt to a changing work environment effectively and efficiently.
  • Ability to maintain positive working relationships with others, both internally and externally 
  • Proven capacity/experience in event planning
  • Class 5 Drivers License
