Job Description

SUMMARY

The Administrative Executive Assistant supports the day-to-day transactions of the Chief Administrative Office, including the Director of Community Services and Director of Public Works. Reporting directly to the Chief Administrative Officer, the Administrative Executive Assistant is responsible for providing support for the day-to-day operations of Gitxaala Band Administration office, assist leadership in executing strategic planning activities. The Administrative Executive Assistant is responsible for coordinating communication, scheduling, deliverables preparation, meeting support and other related administrative tasks.

PRIMARY RESPONSIBILITIES and DUTIES

Relationship Building and Teamwork

  • Establish and foster strong working relationships within and external to the Nation.
  • Maintain composure and perspective in difficult situations and in managing conflict.

Client Service and Engagement

  • Handle inquiries and requests for information in a respectful, professional manner.
  • Maintain confidentiality of all data.
  • Must follow the Nation’s Code of Ethics.
  • Must confirm the importance of understanding Confidentiality.

Perform other duties and responsibilities as necessary in the performance of the position and as assigned by Director.

REQUIRED SKILLS

  • Prepare various materials and reports using MS Office suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Ability to use AIS software.
  • Basic knowledge of and ability to apply data security, management, backup and storage best practices.
  • Understand and comply with privacy legislation.
  • Understand Gitxaala Nation’s culture, language and values including the Sm’algyax culture
  • Ability to work with vulnerable persons.
  • Basic knowledge of menu planning and food handling regulations.
  • Awareness of critical incident management response systems.

EXPERIENCE AND EDUCATION REQUIREMENTS:

Experience:

  • 4 years experience in Administrative Assistance or equivalent experience is considered an asset.
  • Experience working in a First Nation environment is considered an asset.

Education:

  • Administrative Assistant certificate/diploma related to the position is an asset.
  • Cardio Pulmonary Resuscitation (CPR) and First Aid training are considered an asset.

Rate: $55,000 – $60,000/year
