POSITION SUMMARY 

Taan Forest is owned by Haida Enterprise Corporation (HaiCo), the economic development corporation owned by the Council of the Haida Nation. HaiCo owns and operates Taan Forest Limited Partnership (Taan), Haida Tourism Limited Partnership (Haida Tourism), and Haida Wild Limited Partnership (Haida Wild). HaiCo is focused on building Haida owned enterprises that reflect Haida cultural values, investing in the training and mentorship of Haida Citizens, creating careers and improving the lives of Haida Citizens and the economy of Haida Gwaii.

 

Taan Forest has an exciting opportunity for an individual with a strong background in administration. The Administrative Coordinator will report to the Chief Forester and will support strategic initiatives, development of documentation and presentations, record keeping, filing and tracking.


DUTIES AND RESPONSIBILITIES  


  • Assist in developing and implementing policies and procedures to enhance operational efficiencies at Taan Forest, ensuring alignment with HaiCo's strategic direction.
  • Support management in creating and executing communication strategies and tools for the rollout of corporate and strategic initiatives.
  • Participate in internal and external committees, working groups, and special projects as required, providing administrative support and coordination.
  • Draft and assist in the preparation of strategic communications, including presentations, annual operating plans, and briefing notes, in collaboration with the HaiCo management team.
  • Contribute to the development of business strategies, plans, and procedures for Taan Forest, ensuring clear documentation and effective communication.
  • Monitor grant funding opportunities and inform relevant stakeholders of available funding options.
  • Collaborate with management and staff to prepare and submit grant applications, ensuring all necessary documentation and deadlines are met.
  • Track and report on the progress of projects funded by grants, submitting required progress reports as per the terms and conditions.
  • Maintain comprehensive records of contracts, grant applications, and financial values, ensuring all documents are accurately filed and easily accessible.
  • Organize and maintain meeting records for safety meetings, the Taan Strategic and Operational Advisory Group, and other key meetings, including tracking action items and follow-ups.
  • Track and manage Special Use Permits and other permitting deadlines to ensure compliance with regulatory requirements.
  • Provide general administrative support and perform other duties as required to support the overall operations of Taan Forest.

KNOWLEDGE, SKILLS AND EXPERIENCE


  • Exceptional organizational and administrative skills, along with the ability to multitask and meet deadlines.
  • Demonstrate proficient writing skills for internal communications and document development, including drafting reports, briefing notes, meeting minutes, and presentations that effectively convey information to diverse audiences.
  • Capable of setting goals, prioritizing tasks, and fulfilling responsibilities to achieve high-quality results.
  • A proactive individual who takes responsibility for initiative.
  • Proficient in using Microsoft Office applications, such as Outlook, Word, Teams, Excel, PowerPoint, and SharePoint.
  • Exhibit strong skills in organization, coordination, and time management.

TRAINING, EDUCATION AND EXPERIENCE 


  • Post-secondary degree (i.e. communications etc.) or equivalent combination of education, training and experience 
  • Five+ experience at an equivalent level of responsibility 
  • Significant successful experience with coordination, planning and working as part of a team 
  • Valid Class 5 Drivers License  
  • Experience and knowledge of First Nations and/or Haida culture an asset.
