Job Description

$26.82 – $27.92 per hour based on experience, Full-time 35-40 hrs. per week

DESCRIPTION 

As an integral part of the Haida Gwaii Watchmen Program, the Administrative Assistant is accountable and responsible for providing comprehensive administrative support. This includes minute-taking, record maintenance, administrative staff support role, and all other administrative tasks supporting the department as required, including data systems and information tracking, timekeeping, etc.

KEY DUTIES & RESPONSIBILITIES

  • Responsible for meeting preparation such as scheduling, making meeting arrangements, agendas, transcribing minutes, etc. as directed
  • Supported tracking finances, including timesheets, and reported on budget compliance to the manager.
  • As part of our collaborative team, you will maintain and support all office functions, follow all SHN procedures, and collaborate to implement operational practices to support the department’s work.
  • Establish and maintain a filing system for the department’s records, ensuring easy access to documents and information. 
  • Review and distribute emails and action items to appropriate personnel; draft the standard template responses as required.
  • Other related duties as required

QUALIFICATIONS 

  • A minimum of 40 words per minute for typing and word processing.
  • Excellent transcription, writing, word processing and communication skills
  • Ability to take detailed minutes and produce minutes in a timely fashion
  • Ability to work in a self-supervisory, multi-task environment, within clear timelines
  • Computer literate with knowledge of Microsoft Office, particularly Microsoft Word and Excel software.
  • Demonstrated capacity to build relationships, work effectively in a team, and adapt creatively to changing situations.
  • Must have a valid B.C. driver’s license
