PURPOSE: Reporting directly to the CEO, the Executive Assistant plays a vital role in helping to advance the Society’s mandate to enhance the social, economic, physical, cultural, and spiritual well-being of Nisga’a citizens residing in Prince Rupert and Port Edward.

The primary duties are:

1. Administrative Support

  • Maintain confidential information and handle with the appropriate discretion
  • Draft meeting agendas and packages for distribution
  • Track supply inventory for Society businesses and fulfill orders
  • Organize and maintain filing system both digitally and physically
  • Format internal and external communications including memos, emails, letters and presentations
  • Correspond with vendors, suppliers, clients, and members as necessary
  • Liaise with the Finance/HR Manager to ensure all invoices, corporate filings and reports are kept up to date
  • Assist the preparation of grant applications and final reporting
  • Complete expense and mileage claims as necessary
  • Coordinate travel arrangements as necessary

2. Meeting & Scheduling Coordination

  • Act as a liaison and provide support to the Board of Directors by handling all of the logistics of their monthly meetings including arranging the scheduling, venue, coordinating hybrid/in-person details, and catering/refreshments
  • Take meeting minutes where required
  • Coordinates the CEO’s scheduling including meetings, deadlines, appointments, etc.
  • Participate in hosting monthly staff meetings
  • Coordinate staff events such as Christmas parties, team-building activities, training workshops, etc.

OUR IDEAL CANDIDATE:

You have experience working in an administrative capacity, proficiency with Microsoft Suite, strong written and verbal communication skills, and a passion for organizing things. You should be comfortable in an environment that demands problem-solving with minimal guidance and be able to react to situations quickly by switching gears at a moment’s notice in a level-headed manner. And most importantly, you should be willing to be part of a team of equals who are focussed on results, not hierarchy. “Other duties as required” is how we support one another as much as possible.
