Administrative Assistant / Reception Skidegate (Full Time)

The Administrative Assistant is accountable and responsible for providing comprehensive administrative support to the Governance team in the Skidegate office and reception duties, including meeting support, minute taking, record maintenance, and administrative staff support role and all other Administrative tasks in support of the department as required, including data systems and tracking information, time keeping, etc.


  • Responsible for greeting visitors and phone reception
  • Responsible for meeting preparation such as scheduling, making meeting arrangements, agendas, transcribing minutes, etc. as directed
  • Provide support in various administrative tasks for Governance and other departments as assigned, including reporting on budget compliance to the Director
  • Maintain and support all office functions, following all procedures, and working collaboratively to put operational practices in place to support the work of the Governance team
  • Establish and maintain a filing system for records as directed, ensuring ease of access to records and information
  • Review and distribute emails and action items to appropriate personnel; and as required draft the standard template responses
  • Other related duties as directed


  • Must possess class 5 Driver’s License
  • Grade 12 with preference for special training or certificate in secretarial services or combination of training, skills, experience
  • A minimum of 40 word per minute typing and word processing
  • Excellent verbal and written communication, transcription, word processing skills
  • Detail oriented with proven capacity for efficient and effective task management
  • Ability to work in a self-supervisory, multi-task environment, within clear timelines
  • Computer literate with knowledge of Microsoft Office and in particular Microsoft Word and Excel software
  • Demonstrated capacity to build relationships, work effectively in a team, and adapt to changing situations with creativity
