Job Description Form Position: Administrative Assistant Reports To:

Office Manager
The Administrative Assistant provides payroll, time entry, accounting and administrative support to the branch.
· Welcomes guests (greet, safety overview, offer beverages etc) upon entering the building and manages the front desk in a professional manner within the office environment.

· Answers, screens and directs phone calls for the branch.

· Sorts, opens and distributes incoming mail, faxes and posts outgoing mail.

· Provides immediate notification of incoming couriered packages. Sends packages on a scheduled and as-required basis.

· Manages documentation requirements for the assigned business unit.

· Responds to internal and external inquiries in a professional manner.

· May perform accounts payable functions for the branch(s).

· Assists with accruals, job costing, stock transfers and purchase order (PO) activities.

· Assists with tracking backorders and credits with suppliers.

· Assists data entry into industry specific software including accounts receivable.

· May conduct payroll time entry and time management for the assigned branch(s).

· Orders office supplies for the branch.

· Assists with completing month end.

· Prepares expense reports using MS Office Excel.

· Maintains job cost folders as well as manual and electronic filing systems.

· Assists in project administration duties such as fabricating project binders and documentation.

· Assists with maintaining business unit records and compiling reports using the industry specific software and excel spreadsheets.

· Composes routine correspondence.

· Assists with other administrative tasks as required.

· Assists with year end inventory counts and database updating and uploads.

· Receive materials from suppliers and allocate to jobs or stock shelves.

· Acts in a manner consistent with the company’s core values and according to the company’s Code of Business Conduct and Ethical Behaviour.

· Complies with standards and procedures of the company’s Health & Safety Manual and Occupational Health & Safety Regulations.
· 1 to 3 years’ experience in a reception or administrative position.

· Proficiency in Microsoft Word, Excel and Outlook is required.

· Customer service oriented.

· Professional appearance, communication and demeanor at all times.

· Strong interpersonal, verbal and written communication skills.

· Ability to be flexible and approach tasks in a systematic and common sense manner.

· Effective organizational skills with the ability to multi-task, prioritize and handle competing priorities within tight timelines.

· Self-starter with the ability to work in a team environment or independently. Ability to take direction from the management team.

· Previous project administrative experience would be considered an asset.

· Ability to maintain confidentiality.
