Site Administrator (Full Time)

This role is an entry level position that will be responsible for providing administrative field support to the Project Manager and other team members.

Essential Duties & Responsibilities

  • General Office Administration, including data entry
  • Preparation of notices, letters and correspondences as needed
  • Respond to calls in a professional and efficient manner
  • Documentation control – photocopy and collate documents for distribution, mailing and filing
  • Preparation of documentation to assist accounts receivable and accounts payable (e.g. invoices, purchase orders) etc.
  • Attend and record site meetings with various personnel

In addition to above, you may be required to assist and support, as needed the following:

Health & Safety

  • Maintenance of up to date Health, Safety and Environment (HSE) records
  • Onboarding of new hires
  • Documentation of all training certificates for site crew


  • Development of business relations with local vendors/suppliers
  • Sourcing material as required
  • Preparation of comparative table for purchases over $2,500
  • Completion of site level requisitions with proper coding/pricing and forward to responsible parties
  • Verification of packing slip with requisition and forwarding to accounts payables for processing

Contract Management

  • Review of contract specifications and ensure amendments are distributed to appropriate site staff
  • Maintenance of complete and accurate records ensuring proper protocol and approval levels are met; compile, proofread, distribute and file all correspondence in a timely manner
  • Establishment and maintenance of effective communication and coordination with internal/external personnel including owner and assigned consultant, regional and town affiliates, sub-contractors and adjacent contractors working within our construction zone
  • Project start up and close out procedures as per Eiffage and contract specified timeframes
  • Project team in operating a smooth successful site


  • Project team with documentation uploading as per Eiffage and contract specified timeframes, and management of actions required by project consultant and other personnel
  • Implementation of improved record keeping practices and following up with project personnel to ensure program compliance
  • Filing and recording all request for information/clarification, non-conformance report, site instructions, transmittals and change orders
  • Aiding in the preparation and submission of all project deliverables
  • Monitoring and tracking project deliverables

Competency Requirements

  • Excellent interpersonal, phone and customer service skills
  • Effective written and verbal communication skills
  • Self-motivated with an aptitude to learn new processes and technologies
  • Must be proficient with the Microsoft Office Suite; particularly Excel and Word
  • Must have working knowledge of Bluebeam
  • Must be local to Prince Rupert area
  • Occupational First Aid – Level 3 an asset  (OHA Level 3 valid until at least April 2021)
  • Very organized and detail oriented
  • Previous project administrator experience on construction projects an asset
  • Small Vessel Operator proficiency course an asset (SVOP valid until at least April 2021)
  • Standard First Aid an asset (valid until April 2021)
  • Experience filing and tracking safety, quality, and progress files in hardcopy and computer format
  • Purchasing experience an asset
