SUMMARY

Reporting to the Assistant Airport Manager (AAM), this position carries out a variety of duties required for the operation of the administration office at the Prince Rupert Airport. Related tasks will include, but are not limited to, financial administration, human resources, and administrative support.

Responsibilities and Duties

DESCRIPTION

  • Adopt and promote a culture of safety within this role, among the PRAA team and clients.
  • Understand PRAA policies and procedures relating to the safe operation of the airport and incorporating the knowledge into a safe work environment on a daily basis, to minimize injury and risk to airport employees, clients and passengers.
  • Accountable for ensuring governing rules and regulations are upheld within this specific role.

Financial Administration :

  • Participating in annual goal setting, work planning and business planning;
  • Using systems designed for financial and administrative support;
  • Managing and controlling delegated site accounts receivable and payable systems;
  • Managing the revenue receipts, bank deposits, bank accounts, reconciliation of bank accounts and ensuring all regulations associated with the collection, handling and accounting of money are followed;
  • Implementing and monitoring programs for the collection of overdue accounts, issuing of credit notes and taking action on NSF payments.
  • Managing payroll and ensuring that all staff receive regular pay and extra duty entitlements;

Human Resources :

  • Managing leave accrual banks (i.e. vacation, sick time, bank time) ensuring a systematic data entry of all leave and extra duty incurred by site employees;
  • Benefits administration for Municipal Pension Plan, Medical Leave, Medical, Dental & Extended Health; Short Term (STD) and Long Term (LTD) Disability Plans.

Administrative Support:

  • Acting as custodian of all official documents and records, and maintains security of all protected documents;
  • Providing a procurement service for the timely acquisition of stocked and non-stocked materials.

Related duties :

  • Sorting and distributing incoming and outgoing mail.
  • Establish and maintain site filing system.
  • Under confidential cover, prepares and completes routine forms, correspondence, messages and reports for the AAM.
  • Reception duties such as answering the telephone and front desk reception.
  • Responding to verbal and written complaints, suggestions and requests from airport users, the traveling and local public.
  • Operates all office equipment;

Qualifications and Skills

KNOWLEDGE

  • Advanced knowledge of computer software applications including Word, Excel, PowerPoint and Microsoft Outlook.
  • Sage Simply Accounting.
  • Certificate in business administration, accounting or a combination of education and experience.
  • Experience in an aviation environment is highly desirable.
